▶ How do I move budget amounts to / from Reserves?

There are a number of scenarios where you may wish to move amounts to or from reserves. The best way to deal with them is explained below. 

 

Moving an amount from a budget into reserves

Example: a budget has been set with the amount to be put into a reserve:

  • Enter a Reserve Transfer with the amount as positive to increase the amount in the reserve. Select the reserve the money is to go into. The reserve balance will be increased and the general fund will be reduced.
  • Cost code budgets are unaffected by reserves transfers and reserve transfers will not appear on the budget vs actuals reports (they do appear on the Reserves Balance report). 
  • If you would like to amend a cost code budget to reflect a reserves transfer navigate to Setup → Cost Codes. Click into the code and amend the budget amount. Add notes to record the change. Save to update.

Moving an amount from reserves into a budget code:

Example: money is to be taken out of a reserve and allocated to a budget code:

  • Enter a Reserve Transfer with the amount as negative so that it is taken from the reserve. Select the reserve the money is to be taken from. The reserve balance will be reduced and the general fund will be increased.
  • To show it as an available budget against the code code navigate to Setup → Cost Codes. Click into the code and increase the budget amount by the amount taken from the reserve. Add notes to record the change. Save to update.

 

Moving an amount out of a reserve into the General Fund

Examples: a project is complete and there are some remaining funds; a reserve is no longer required. 

  • Enter the transfer with the amount that is being moved out as negative and select the reserve that it is being taken from.

  • The general fund will automatically be increased by the amount taken from the reserve.
