How Can I Amend an Invoiced Booking?

This process explains how to amend booking records that have already been invoiced, ensuring a clear audit trail and accurate sales invoice records within Scribe Accounts.

If a booking record has been invoiced, but now requires an amendment due to a cancellation, addition or change of dates, the steps below should be followed.

This guide assumes that the invoice has not yet been paid by the hirer, and that at least one booking is going ahead. If the entire booking has been cancelled, you can simply set the status of both the booking record and the invoice to cancelled. How do I Cancel an Invoice?

1. Unlink the Booking from Accounts

Access Scribe Bookings and locate the relevant booking record.

Click the three vertical dots to the right of the booking record, select Unlink from Accounts, and confirm the prompt.

2. Cancel the Sales Invoice

Open Scribe Accounts and go to Transactions > Sales Invoices via the side navigation menu.

Locate the original invoice associated with the booking. Click the three vertical dots/Edit next to the invoice. Change the Status to Cancelled, and click Save.

The cancelled invoice will remain in the system in order to maintain an audit trail.

3. Amend the Booking Details

Return to Scribe Bookings and locate the booking record.

Select the three vertical dots/Edit to the right of the booking record. Make the required changes (e.g. add, amend or remove a booking slot or additional service) and click Save.

4. Generate a New Invoice

From the updated booking record, click the three vertical dots and select Send to Accounts.

Populate the invoice details as usual and generate the new invoice.

The new invoice can be issued to the hirer, leaving a clear audit trail within the accounts.
