How to use AI to fill in asset details

Automatically add types, descriptions, and conditions to your assets

Use Civic.ly AI to automatically add details to your assets, including type, category, description, and condition. If an asset isn’t in a mapped area, AI assigns the nearest street as its location tag.

Who is this for?

  • Role: Office staff, field leads

  • Platform: Web

  • When: Onboarding, after photos and location checks

Before you start

  • Upload photos and confirm assets appear on the map.

  • Adjust any misplaced asset locations.

  • Make sure areas have the correct Location Tag set.

Steps

  1. Open the asset list — filter to the assets you want to update.

  2. Select assets — tick the items you want AI to process.

  3. Run AI fill-in — click Auto Detect Assets (robot button) on bottom bar.

  4. Wait for processing — Civic.ly AI will:

    • Assign What3Words locations

    • Apply the area location tag (if the asset falls inside a mapped area)

    • If no area applies, assign the nearest street as the location tag

    • Suggest an asset type and category

    • Add or update names and descriptions

    • Provide a condition assessment

  5. Review results — check each asset carefully:

    • Confirm the type and category are correct

    • Adjust names and descriptions if needed

    • Correct any condition ratings

    • Confirm that the assigned location makes sense

  6. Save changes — confirm edits to finalise results.

  7. Finish — your assets now have richer details, ready for compliance and reporting.

Notes & limits

  • Switch to Grid View — this makes it easier to review AI results with larger thumbnails.
  • AI relies on clear, high-quality photos. Poor images reduce accuracy.
  • Assets outside a mapped area will be assigned the nearest street name as their location.
  • AI suggestions must be reviewed before relying on them.

  • Processing speed depends on the number of assets selected.

Verify it worked

  • Check that each asset now shows name, type, description, condition, and a logical location tag.

  • Confirm assets in mapped areas display the correct area name.
